Refund Policy

Refund & Cancellation Policy

The following Refund Policy applies to all registrations for the 18th Asia-Pacific Federation for Clinical Biochemistry and Laboratory Medicine (APFCB) Congress 2027.

By completing your registration, you acknowledge and agree to the following terms.

1. Registration Confirmation

A registration is considered confirmed only after:

  • the online registration form has been completed; and
  • full payment has been successfully received.

Incomplete registrations may be cancelled without notice.

2. Cancellation Requests

All cancellation requests must:

  • be submitted in writing;
  • be sent by email to the Congress Secretariat;
  • include the delegate's full name and registered email address.

The date the email is received shall determine the applicable refund.

3. Refund Schedule

Cancellation Date Refund
On or before 31 May 2027 80% refund (20% administrative fee applies)
After 31 May 2027 No refund

Refunds will be processed after the conclusion of the Congress.

4. Administrative Charges

The administrative fee covers costs already incurred in relation to:

  • registration processing;
  • banking and payment gateway charges;
  • administrative handling;
  • event planning and logistics.

These charges are non-refundable.

5. Delegate Substitutions

A registered delegate may transfer their registration to another individual once only, provided written notification is received by the Congress Secretariat no later than 26 September 2027.

Additional substitutions may be declined at the discretion of the Organiser.

6. No Shows

Delegates who fail to attend the Congress without submitting a cancellation request will not be eligible for any refund.

7. Visa Refusals

A visa refusal does not automatically qualify for a refund.

Refund requests arising from visa refusals will be considered only if:

  • documentary evidence of the refusal is provided; and
  • the request is received before the applicable cancellation deadline.

Administrative fees may still apply.

8. Force Majeure

The Organiser shall not be liable for failure or delay in performing its obligations where caused by circumstances beyond its reasonable control, including but not limited to:

  • natural disasters;
  • pandemics;
  • epidemics;
  • war;
  • civil unrest;
  • government restrictions;
  • strikes;
  • venue closure.

In such circumstances, the Organiser may:

  • reschedule the Congress;
  • convert registrations to a virtual event, if applicable; or
  • determine an appropriate refund policy at its sole discretion.

9. Event Cancellation

Should the Organiser cancel the Congress entirely, delegates will receive a refund of the registration fees paid.

The Organiser shall not be responsible for:

  • airfare;
  • accommodation;
  • visa costs;
  • travel insurance;
  • exchange rate losses; or
  • any other consequential expenses.

Delegates are strongly encouraged to purchase comprehensive travel insurance. This approach is common for international scientific congresses.

10. Payment Refund Method

Approved refunds will be issued using the original payment method whenever possible.

Bank charges, currency conversion fees and payment gateway charges may be deducted where applicable.

The Organiser is not responsible for fluctuations in exchange rates.
